Hire a Car in Ahmedabad – How Booking Works
Hiring a car with Happy Car Rental is simple and quick. Here is exactly how booking works, what details we need, and what happens on the day of your trip.
4 Steps to Hire a Car
- Share your trip: call or WhatsApp us with your pickup point, destination, date and time, number of passengers and bags.
- Get your quote: we suggest the right car and tell you the fare and what it includes — tolls, parking, driver allowance.
- Confirm the booking: once you confirm, we reserve the car and driver for you.
- Receive driver details: before pickup, we send the driver’s name, mobile number and car number.
Details That Help Us Plan
- Flight or train number for airport and station pickups.
- All stops on the way, if you have more than one.
- Special needs — child seats, elderly passengers, extra luggage.
Which Car Should You Hire?
- 1–4 passengers: Swift Dzire.
- 5–6 passengers or more luggage: Ertiga or Innova Crysta.
- Special occasions and VIP guests: luxury cars.

What to Share for Each Type of Trip
Every trip needs a pickup address, date, time and passenger count. Beyond that, each kind of journey needs a few extra details. Having them ready makes your booking quicker and your quote more accurate.
| Trip type | Extra details to share |
|---|---|
| Airport pickup | Flight number, terminal (T1 or T2) if known, number of bags, and the name the driver should show |
| Airport drop | Flight departure time, so we can suggest a safe pickup time from your area |
| Railway station | Train number, station (Kalupur, Sabarmati, Maninagar or Gandhinagar Capital) and coach number for easy meeting |
| Local day hire | A rough list of stops and whether you need the car past 8 hours |
| Outstation round trip | All cities in order, number of nights, and whether any day is a rest day |
| One-way drop | Full drop address at the destination, not just the city name |
| Wedding or event | Number of cars, timings for each movement, venue addresses and a contact person on the day |
For weddings with several cars, our guide to booking multiple cars for a wedding walks through planning in more detail.
A Sample WhatsApp Booking Message
You do not need a special format, but a message like this gives us everything in one go:
Hi, I want to hire a car in Ahmedabad.
- Trip: outstation round trip, Ahmedabad – Somnath – Diu – Ahmedabad
- Start: Saturday, 6:00 am, from Bodakdev (near the main road)
- Return: Monday evening
- Passengers: 5 adults, 1 child, 4 medium bags
- Car: Innova Crysta preferred
Please share the fare and what is included.
Send it to +91 76000 09227. If anything is unclear, we will call you back to check.
What Your Confirmation Includes
Once you agree to the quote, we send a confirmation on WhatsApp. Read it carefully and reply straight away if anything is wrong.
- Pickup date, time and full address.
- Drop point, or the full route for tours.
- Car type booked.
- Fare basis: package, per km with daily minimum, or one-way fixed fare.
- What is included and what is extra, such as tolls, parking or permits.
Driver details follow before pickup, as explained above. Save the driver’s number in your phone so you recognise the call.
Changing or Cancelling a Booking
Plans change, especially with flights and family events. If your timing, route or passenger count changes, tell us as early as possible so we can adjust the car or driver. A larger group may need a different car, and a new route may change the fare.
Terms for cancellations can depend on the trip and how close to the pickup time it is, so confirm the terms when booking.
On the Day of Your Trip
- Driver contact: the driver calls or messages you before pickup to confirm he is on the way.
- Meeting point: at home, the car comes to your gate. At the airport and stations, the driver tells you exactly where to meet.
- Starting reading: on per-km and package bookings, note the start time and odometer reading together with the driver.
- During the trip: tell the driver about any changes in stops. For major route changes, also message us so the fare can be updated.
- Breaks: on long drives, plan tea and meal breaks every few hours. Drivers know reliable highway stops.
- End of trip: note the closing time and reading, collect toll and parking slips, and settle any extras as agreed.
Getting Ready the Night Before
For early flights, long outstation drives or pre-dawn temple visits, a little preparation the night before keeps the morning calm.
- Check that you have received the driver’s name, number and car number. If not, message us in the evening rather than at pickup time.
- Tell the security guard at your society gate to expect a taxi, so the car is not held up at the entrance.
- Keep ID cards, tickets and medicines in a hand bag rather than packed deep in a suitcase.
- If you are on a busy road where stopping is hard, agree a nearby landmark as the meeting point.
After the Trip
- Check the car: look under seats and in the boot for phones, chargers and small bags before the car leaves.
- Lost something? Call or WhatsApp us with your trip date and car number as soon as you notice.
- Need a return? If you took a one-way car, book your return trip in the same chat so we already have your details.
- Feedback: tell us what went well and what could be better. It helps us plan your next trip.
Common Booking Mistakes to Avoid
Most problems on the day come from small details missed at booking time. Watch out for these:
- Giving only an area name. “Satellite” or “Maninagar” covers a large area. Share a full address with a landmark, or send your location pin on WhatsApp.
- Mixing up am and pm. For midnight and early-morning trips, write the date clearly. A 12:30 am pickup on Friday means late Thursday night.
- Under-counting luggage. Mention prams, wheelchairs, gift boxes or wedding outfits, which take more boot space than a normal bag.
- Forgetting a stop. Picking up a relative on the way may sound small, but it can change the route, the time and sometimes the fare.
- Not mentioning a return. If you will need the car back the same day, say so at the start. Booking a one-way and then asking the car to wait is usually costlier than booking a round trip in the first place.
- Booking the wrong pickup time for flights. For airport drops, work back from your flight time and allow for check-in, security and traffic on the way to Hansol.
Booking for Someone Else
Many bookings are made for parents, guests or colleagues. Give us the passenger’s name and phone number along with your own, and tell us if they need help with luggage or are travelling with a wheelchair. We will share driver details with both of you. For business travellers, see our executive taxi service, and for airport arrivals see airport pickups.
Frequently Asked Questions
How far in advance should I book?
A day ahead is usually enough; book earlier for festivals, weddings and long weekends.
Can I change my booking?
Yes — call or WhatsApp us as early as possible with the changes.
Can I book a car late at night for an early start?
Yes. Our office is open 24 hours, 7 days a week, so you can call or WhatsApp at any time. Short-notice bookings depend on availability, so book as early as you can.
What happens if my flight or train is late?
If you have shared the flight or train number, we plan around the delay. Message us or the driver if your plans change, and confirm the waiting terms when booking.
Can I book a car for a parent or guest who is travelling alone?
Yes. Share their name and phone number when booking, and we will send driver details to both you and the passenger.
